Privacy Policy

This policy explains what personal information ArchiveTracker collects, why, who it is shared with, how long it is kept, and the choices you have. ArchiveTracker is run by Liam Olse ("we", "us"). You can reach us at support@archivetracker.app.
ArchiveTracker collects very little. We don't use advertising, analytics or tracking tools. We don't sell your personal information, and we don't share it for advertising.
What we collect and why
Your email address. You give it to us when you sign in. We use it to send you one-time sign-in codes, to identify your account, and to link your account to your subscription. We also use it to limit how many sign-in codes can be requested for one address, which prevents abuse. We email you only about your account and your subscription. We don't send marketing email.
Your account and subscription records. These are an internal account number derived from your email address; the customer and subscription numbers our payment processor Stripe assigns to you; and the state of your subscription. That state includes whether it is active, when your paid period ends, whether you have cancelled, and the dates of any payment grace period. We use these records to decide whether your account has access, and to keep it in step with Stripe.
Your preferences and saved listings. These are the brands, garment types and price range you choose for your feed, the buying service you prefer, and the listings you save, with the time you saved them. We use them to show you your feed and your Saved page.
Technical information. When you sign in, our system records a session so that you stay signed in. The session record includes your IP address and your browser's description of itself (its "user agent"). We also keep counters keyed to IP addresses to limit repeated sign-in attempts. We use this information only to keep you signed in and to protect the service from abuse.
Your location, at checkout only. When you open the checkout page, our server looks up the country of your IP address in a location database kept on our own server. This is how we confirm the subscription is being bought from the United States. We don't store the result, and we don't send your IP address to anyone for this check. We don't use your location for anything else.
Payment information. When you subscribe, you enter your payment details on Stripe's secure checkout page, not on our site. Stripe collects your card details, and the billing details it asks for. We never see or store your full card number.
Messages you send us. If you email us, we keep your message and our reply so that we can help you.
Who we share it with
We share personal information only with the service providers who help us run ArchiveTracker, and only as far as each one needs it.
Stripe (payments). Stripe processes your payments and runs the subscription. That includes renewals, receipts, failed-payment emails and the page where you manage or cancel your subscription. We give Stripe your email address and your internal account number. Stripe also collects information directly from you, as described in Stripe's own privacy policy, including information it uses to prevent fraud.
Resend (email delivery). Resend delivers the emails that contain your sign-in codes. It receives your email address and the message.
Akamai Cloud (Linode) (hosting). Our server, our database and our backups run on Akamai's cloud hosting.
Spaceship (support email forwarding). Messages you send to our support address pass through Spaceship, our domain provider, which forwards them to the mailbox we read.
We don't send any information about you to artificial-intelligence services. The English listing titles are built by our own software, on our own server.
We may also disclose information if the law requires it, to protect our rights or the safety of others, or as part of a sale or reorganization of the business. In a sale, this policy would continue to protect your information.
Third parties you contact directly
Some parts of ArchiveTracker cause your own browser to contact other companies directly. Those companies see your IP address and browser information, and their own privacy policies apply.
Listing photos are loaded straight from the marketplaces' own image servers (Mercari, Rakuma and Yahoo! Japan). Your browser is set not to tell them which page you came from.
When you open a listing in Buyee, ZenMarket, FromJapan or Neokyo, you go to that company's website. The same applies when you use "Search with Google Lens", which takes you to Google. Whatever you do there is governed by that company's privacy policy.
Cookies
ArchiveTracker uses one cookie: a session cookie that keeps you signed in. It is strictly necessary for the service to work. It can't be read by scripts on the page, and it isn't used for tracking or advertising. It lasts up to 30 days and is renewed while you use the service. Signing out ends it.
We don't use analytics, advertising or third-party cookies. Stripe's checkout and subscription pages, which are run by Stripe, may set their own cookies, which Stripe's policy describes.
How long we keep it
We keep your account information, preferences and saved listings for as long as your account exists, so that they're still there if you resubscribe. If you ask us to delete your account, we delete this information. The exception is records we must keep for tax, accounting or legal reasons, such as records of payments; we keep those for as long as the law requires.
Sign-in codes expire after 5 minutes and are stored only in scrambled (hashed) form. A sign-in session lasts up to 30 days unless you sign out. The counters we use to limit repeated sign-in attempts hold an IP address (or part of one) and a count; we keep them until we clear them, and we use them for nothing else.
Our database backups are kept for 14 days. Information deleted from the live database disappears from backups within that time.
Our application logs don't record your email address, sign-in codes or payment details. Our web server keeps no access logs. Its error logs may occasionally include an IP address, and they are kept only for a limited time.
Where your data is stored
Our server is hosted by Akamai Cloud (Linode) in Japan. Your information is therefore stored and processed in Japan. Our service providers may process it in the United States and other countries. Wherever it is processed, we protect it as this policy describes.
How we protect it
All connections to ArchiveTracker are encrypted (HTTPS). Sign-in codes are stored hashed, and codes and session checks are rate-limited. Our sign-in cookie is protected from page scripts and cross-site use. Access to our server is restricted. No system is perfectly secure, but we work to protect your information and to collect as little as we can.
Your rights and choices
You can ask us to:
tell you what personal information we hold about you;
give you a copy of it;
correct it;
delete your account and personal information.
To make a request, email support@archivetracker.app from the email address on your account, so that we can confirm the request is yours. We will answer within 30 days, and we won't treat you differently for making a request.
You can also change your preferences and saved listings yourself, at any time, inside the service. You can cancel your subscription online at any time. Cancelling stops billing but doesn't delete your account. To delete your account, email us.
US state privacy rights. Depending on where you live, state law (for example in California, Colorado, Connecticut, Texas, Virginia and other states) may give you rights to know, access, correct, delete and port your personal information, and to opt out of its sale, of targeted advertising and of certain profiling. We don't sell personal information, we don't share it for cross-context behavioral advertising, and we don't use it for targeted advertising or for profiling that has legal or similarly significant effects. You can still exercise any of these rights by emailing support@archivetracker.app. If we decline your request, you may appeal by replying to our answer with "Appeal" in the subject line.
An authorized agent may make a request for you, if it gives us proof of your permission.
California "Shine the Light". We don't share personal information with third parties for their own direct marketing.
Do Not Track. We don't track you across other websites, so we treat every visitor the same, whatever the "Do Not Track" or Global Privacy Control setting.
Children
ArchiveTracker is for adults (18 and over). We don't knowingly collect information from children under 13. If you believe a child has given us information, email support@archivetracker.app and we will delete it.
Changes to this policy
We may update this policy. When we do, we will post the new version here with a new effective date. If a change materially affects how we use your personal information, we will email you before it takes effect.
